Primary Purpose:

Under close supervision perform data entry including accounting, personnel, budget, demographics, and Public Education Information Management System (PEIMS) data (e.g., attendance, grades) into computer databases.

Interprets written or spoken material into one or more other languages, ensures meaning and context are maintained, creates glossaries or term dictionaries, possesses knowledge of multiple languages, works with individual and groups.

 

Education/Certification:

  • High school diploma or GED

Special Knowledge/Skills:

  • Ability to meet established deadlines
  • Ability to analyze data, create reports and upload required student PEIMS submissions
  • A clear writing style with knowledge of spelling, grammar and understand detailed, written and/or oral instructions
  • Experience in the use of computer applications, including but not limited to spreadsheets (Excel & Google), databases, and statistical analysis software; and statistical analysis software/programs such as PowerBi, Looker Studio or Tableau preferred
  • Proficient in keyboarding, 10-key numerical data entry, and file maintenance
  • Strong organizational, communication, supportive, interpersonal skills, coordinate multiple tasks.
  • Ability to use software to develop spreadsheets, perform data analysis, and do word processing
  • Knowledge of statistical procedures, data analysis and interpretation of results preferred
  • Demonstrate proficiency in handling matters of a highly confidential nature including the safeguard of sensitive and confidential student information
  • Must possess personal qualities related to respect for the rights and confidentiality of others

Major Responsibilities and Duties:

Assessment and Analysis Support:

  • Key alphabetic, numeric, or symbolic data from source document and verify results according to procedures provided.
  • Identify deficiencies in source documents and return them to originator for correction.
  • Compile, maintain, and submit reports, records, and other documents as required including required student PEIMS submissions, class or personnel rosters, end-of-semester reports, and accounting reports in the state assessment platform
  • Prepare and sort documents and data sheets for the purpose of data entry
  • Establish entry priorities by maintaining an understanding of what data needs to be entered first
  • Enter data into prescribed database software
  • Make sure that accurate data has been entered into the database
  • Verify entered data by reviewing, correcting, changing or deleting entered information
  • Secure entered information by creating data backups on a periodic basis
  • Check completed work for accuracy and make any required changes immediately
  • Check source documents against entered data to ensure data integrity at every stage
  • Ensure validity of all data presented to staff
  • Co-planning design and statistical analysis to create/build the best data visualizations to support campus based academic decisions

 

 

Other Duties and Responsibilities

  • Answer incoming calls, take reliable messages, and route to appropriate staff as needed.
  • Provide clerical support to the human resources department in specified areas as needed.
  • Maintain professional interactions with staff, parents, community and visitors.
  • Participate in staff development training programs to improve job performance
  • Participate in faculty meeting and special events as assigned
  • Perform duties as assigned, related to the position as directed by the supervisor or administrative staff
  • Perform other duties as assigned by the supervisor or other administrator that are consistent with the general requirements and qualifications for the position
